Regular Exports
- Schedule: Print or export (e.g. PDF) from Shifts regularly (e.g. weekly or monthly). Use department filter for team-level exports.
- Time logs are not exported to CSV or file. Use filtered views in the app for attendance review and payroll support.
- Keep exported schedules in a secure place (e.g. shared drive, access-limited folder) if you use them for records or audits.
Backup Strategies
- Omeny runs in the cloud; data is stored by the platform. Backups are typically handled by the service (check your terms or SLA).
- Export and store schedules (PDF) yourself if you need local copies for compliance or history.
- Don't rely only on screenshots or single exports; export on a schedule (e.g. after each schedule finalization).
Data Retention
- Retention rules depend on local law and company policy (e.g. labour, tax, payroll).
- Use filters and date ranges in Time logs and Shifts to review older data. Deactivate employees who leave instead of deleting them if you need to preserve history.
- Delete account (Profile) removes your user data; organization data may still be subject to your org's retention policy.
Privacy Considerations
- Employee data (name, PIN, department, pay, time logs) is sensitive. Limit access to managers and admins as needed; use roles appropriately.
- Location is stored for check-in when enabled. Use it only for attendance and compliance; inform employees how it's used.
- Sign out on shared devices and sign out time clock devices when they're no longer in use. See Managing Time Clock Devices and Account Security.
