Setting Up Your Organization

After creating your account and logging in, you'll need to set up your organization. The organization setup wizard guides you through this process step by step.

Accessing the Organization Setup

You'll automatically be taken to the organization setup wizard if:

  • You just created your account
  • You don't have any organizations yet
  • You click "Create Organization" from the dashboard

Organization Setup Wizard Steps

The wizard consists of five steps:

Step 1: General Information

In this step, you'll provide basic information about your organization:

  1. Organization Name (Required)

    • Enter your business or organization name
    • This name will appear throughout the system
    • Example: "Downtown Restaurant" or "ABC Company"
  2. Industry (Required)

    • Select your industry from the dropdown menu
    • Options include:
      • Restaurant
      • Hotel
      • Retail
      • Healthcare
      • Hospitality
      • Manufacturing
      • Construction
      • Education
      • Other
  3. Location (Required)

    • Country: Select your country from the dropdown
    • State/Province: Select your state or province (if applicable)
    • City: Select or enter your city
    • The system will automatically configure timezone, currency, and language based on your location
  4. Click "Next" to proceed to the next step

Tips:

  • Choose a clear, recognizable organization name
  • The location you select determines your timezone and currency settings
  • You can change these settings later in Organization Settings

Step 2: Department Configuration

Departments help you organize your employees. Common examples include Kitchen, Dining Room, Front of House, Back of House, etc.

  1. Add Departments

    • You'll see at least one empty department field
    • Enter a department name (e.g., "Kitchen", "Dining Room")
    • Click the "+" button to add more departments
    • Click the trash icon to remove a department (you must have at least one)
  2. Common Department Examples

    • Restaurants: Kitchen, Dining Room, Bar, Host, Management
    • Retail: Sales Floor, Stock Room, Customer Service, Management
    • Hotels: Front Desk, Housekeeping, Maintenance, Food & Beverage
  3. Click "Next" to proceed

Tips:

  • You can add departments later, but it's easier to set them up now
  • Think about how you want to organize your employees
  • Department names can be changed later

Step 3: Shift Configuration (Optional)

This step allows you to create shift templates that you'll use when scheduling employees.

  1. Add Shift Templates

    • Click "Add Shift" to create a new shift template
    • Enter a shift name (e.g., "Morning", "Afternoon", "Night")
    • Set the start time (e.g., 08:00)
    • Set the end time (e.g., 16:00)
    • Choose a color for visual identification
    • Select which department this shift applies to
  2. Common Shift Examples

    • Morning Shift: 08:00 - 16:00
    • Afternoon Shift: 12:00 - 20:00
    • Night Shift: 20:00 - 04:00
    • Split Shift: 10:00 - 14:00, 17:00 - 21:00
  3. Skip or Continue

    • You can skip this step and add shifts later
    • Click "Skip" to proceed without creating shifts
    • Click "Next" to continue with shift creation

Tips:

  • Shift templates save time when scheduling
  • You can create custom shifts even without templates
  • You can always add more shift templates later

Step 4: Employment Types (Optional)

Employment types define how employees are paid and how their hours are calculated.

  1. Add Employment Types

    • Click "Add Employment Type" to create a new type
    • Enter a name (e.g., "Full-time", "Hourly", "Daily")
    • Configure base hours (standard working hours)
    • Set calculation method (fixed hours or frequency-based)
  2. Common Employment Types

    • Full-time: Typically 40 hours/week, salary-based
    • Hourly: Paid by the hour, variable hours
    • Daily: Fixed daily rate, regardless of hours
  3. Skip or Continue

    • You can skip this step and configure employment types later
    • Click "Skip" to proceed
    • Click "Next" to continue

Tips:

  • Employment types are important for payroll calculations
  • You can add more types later in Organization Settings
  • Each employee will be assigned an employment type

Step 5: Review and Create

This final step shows you a summary of everything you've configured.

  1. Review Your Information

    • Check that all information is correct
    • Review organization details
    • Verify departments
    • Check shift templates (if created)
    • Review employment types (if created)
  2. Make Changes

    • Click "Back" to return to any previous step
    • Make any necessary corrections
  3. Create Organization

    • Once everything looks correct, click "Create Organization"
    • The system will create your organization
    • You'll be redirected to the dashboard

After Organization Creation

Once your organization is created:

  1. You'll be taken to the Employees page

    • This is where you'll add your first employees
    • See Post-Setup Configuration below
  2. Organization is Active

    • Your organization is now set up and ready to use
    • You can start adding employees immediately
    • All settings can be changed later in Organization Settings
  3. Next Steps


Post-Setup Configuration

After completing the organization setup wizard, you may want to configure additional settings or modify what you set up during the wizard. Here are the common next steps:

  • Go to Dashboard → Employees → Add Employee
  • Each employee needs a unique 4-digit PIN (see Understanding PINs)

  • Authenticate a device in Organization Settings → Devices
  • Required before employees can check in/out

Test the SystemUsing the Time Clock

  • Test check-in/check-out with a few employees
  • Verify time logs are created correctly
  • Test scheduling functionality
