Configuring Employment Types (Admin)
Employment types are managed in Organization Settings. You need admin or owner permissions to add, edit, or archive them.
Creating Employment Types
- Go to Dashboard → Organization Settings → Employment Types (or similar).
- Click New type (or Add type).
- Enter:
- Name – e.g. "Full‑time", "Hourly", "Daily", or a custom name.
- Pay mode – Full‑time, Hourly, or Daily. This cannot be changed after the type is created.
- For full‑time types only, set how the norm (base hours) is calculated (see below).
- Save. The new type appears in the list and when assigning employment type to employees.
Setting Base Hours (Full‑Time Only)
For full‑time employment types, you choose how base hours per month are determined:
- Fixed number of hours per month – e.g. 164. You enter a single value; it is used as the monthly norm.
- From frequency and hours per day – The norm is computed from:
- Hours per day (e.g. 8), and either
- Work cycle: "X work days, Y off days" (e.g. 2 on, 2 off), or
- Selected weekdays: e.g. Mon–Fri. The app counts how many of those days fall in the month and multiplies by hours per day.
Base hours are used to derive an hourly rate (salary ÷ base hours) and to determine overtime (hours beyond base).
Frequency‑Based Calculations
- Work cycle: Define work days and off days per cycle. The app applies this pattern to the month and sums work days × hours per day.
- Selected weekdays: Pick which weekdays (e.g. Mon–Fri) count as work days. The app counts matching days in the month × hours per day.
Frequency‑based norms can vary by month (different number of work days), so the derived hourly rate and overtime depend on the month you're viewing.
Fixed Hours vs. Frequency‑Based
- Fixed: Same base hours every month. Simple and predictable.
- Frequency‑based: Base hours depend on the calendar. Use when your actual schedule follows a cycle or specific weekdays.
Editing Employment Types
- Open Organization Settings → Employment Types.
- Find the type and click Edit (pencil).
- Change name or norm settings as needed. Pay mode cannot be changed.
- Save.
Note: Some types may be protected (e.g. default Full‑time, Hourly, Daily). Protected types can usually still be edited (name, norm), but not archived.
Archiving Employment Types
- Use Archive (or Delete) for a type you no longer want to use. Archived types are inactive and typically hidden from dropdowns when creating or editing employees.
- Protected types cannot be archived. You also cannot archive a type that is still in use if the app prevents it.
