Creating & Managing Departments

Departments are managed in Organization Settings. You need the right permissions (e.g. admin or owner) to add, edit, or remove them.

Adding New Departments

  1. Go to DashboardOrganization SettingsDepartments.
  2. Click Add Department (or Add New Department).
  3. In the form:
    • Department name – e.g. "Kitchen", "Sales". Required; at least 2 characters.
    • Description – optional (e.g. "Back‑of‑house kitchen staff").
  4. Save. The new department appears in the table and can be chosen when assigning employees.

Department Descriptions

The description field is optional. Use it to clarify what the department covers or who belongs in it. Descriptions can help when onboarding new managers or when you have many departments.

Activating / Deactivating Departments

Each department has a status: Active or Inactive.

  • Active departments appear in lists (e.g. when assigning employees, filtering, or printing). Only active departments are shown.
  • When you delete a department (see below), it is deactivated: its status is set to inactive and it is removed from the list. You won't see it in filters or when assigning employees.

The department management page shows Active or Inactive in the table. The standard list only includes active departments. The app does not currently offer a separate "Deactivate" button; Delete performs the deactivation.

Deleting vs. Deactivating

  • Delete (from the department table): The department is deactivated (marked inactive) and removed from the list. It is not permanently erased; existing records (e.g. time logs, past schedules) may still reference it.
  • Deactivated departments no longer appear when creating or editing employees, filtering, or printing. Employees who were in that department keep their assignment in the database, but the department will not appear in normal dropdowns or filters until it is reactivated (if your organization supports that).

Before deleting:

  • Consider reassigning employees to another department. After deletion, the department won't be available in the UI for new assignments.
  • Deleting is irreversible in the sense that the department disappears from day‑to‑day use. You cannot undo it through the normal UI.
