Setting Up a Time Clock

Before employees can clock in and out, a manager or admin must set up the time clock. This links the device (tablet, computer, or phone) to your organization so it knows which business it's recording time for.

What Is a Time Clock?

A time clock is the screen where employees enter their PIN to clock in or out. It can be:

  • A tablet or phone mounted near the entrance
  • A computer at the front desk
  • Any device with a browser, opened to the time clock page

The same device can stay on the time clock page all day so employees use it when they arrive and leave.

What You Need

  • A tablet, computer, or phone with a modern browser (e.g. Chrome, Safari, Edge)
  • Internet connection (needed for setup; the time clock can still work for a while if the connection drops)
  • A manager, admin, or owner account to authorize the device

Authorizing a Time Clock (First-Time Setup)

Step 1 – Open the time clock on the device

  1. On the device that will serve as the time clock, open a browser.
  2. Go to your Omeny time clock page (your admin can give you the exact address).
  3. The time clock page will show an 8-digit code and your organization's name.

Step 2 – Authorize the device

  1. On a different device (e.g. your phone or computer), log in to Omeny as a manager, admin, or owner.
  2. Go to Organization Settings → Devices (or the "Time clock devices" / similar menu).
  3. Open the "Add time clock" or "Authorize device" option.
  4. Enter the 8-digit code shown on the time clock screen.
  5. If you have more than one organization, choose the correct one.
  6. Confirm. The time clock is now linked to your organization.

Step 3 – Use the time clock

  1. On the time clock device, the screen will change from the code to the "Enter your PIN" screen.
  2. Employees can now clock in and out on that device using their PINs.

The 8-digit code changes after a short time. If it expires, the time clock will show a new code; use that new code in the admin panel to authorize (or re-authorize) the device.

Generating a New Code

If the time clock shows "Enter code" or similar instead of the PIN screen:

  1. On the time clock device, use the "Get new code" (or similar) button if shown.
  2. A new 8-digit code appears.
  3. In Omeny (Organization Settings → Devices), enter this new code to authorize the device again.

Keeping the Time Clock Ready for Use

  • Leave the time clock page open on the device so employees can use it without logging in.
  • Avoid closing the browser or tab during the workday.
  • If the device goes to sleep, wake it up and, if needed, reload the time clock page.
  • If you see a message about no internet, check Wi-Fi or network connection; the time clock needs it for setup and usually for recording times.
