Scheduling Workflow

Planning Monthly Schedules

  • Start from Shifts → choose the month.
  • Review time off overlays so you don't schedule people who are absent.
  • Plan coverage by department; use department filter when printing/exporting.

Creating Shift Templates

  • Go to Organization SettingsShift Management (or ShiftsConfigure).
  • Add templates (e.g. Morning, Afternoon, Night): name, start/end time, color.
  • Use fixed times for regular patterns; use custom shifts for one‑offs. See Creating Shift Templates.

Assigning Shifts Efficiently

  • Click a cell (employee + date) → pick a template or custom → set overtime for full‑time if needed → save.
  • Use drag‑and‑drop to move assignments between employees or dates.
  • Use bulk actions: select rows (employee) or columns (day) → Delete to clear many assignments at once.
  • Use Bulk scheduler (if available) to assign multiple employees in one go.

Handling Schedule Changes

  • Edit an assignment (click → Edit) to change shift type, times, or overtime.
  • Remove an assignment via the cell menu when someone is off or swapped.
  • Time off approval automatically removes overlapping shifts; rejected requests leave the schedule as is.

Communicating Schedules to Employees

  • Print or Export (e.g. PDF) the schedule from Shifts. Use department filter for team-specific sheets.
  • Post printed schedules or share the PDF (email, chat) so employees know when to work.
  • Today's Schedule on the dashboard and time clock (when applicable) also show today's assignments.
