Time Off on the Calendar

Time off appears on the shift calendar so you can see who is absent when planning or editing shifts.

Viewing Time Off on the Shift Calendar

  • Open DashboardShifts (schedule).
  • Time off shows as overlays or chips in the employee rows, over the dates they're absent.
  • Each overlay is color‑coded by time off type and usually shows the type name (e.g. "Vacation", "Sick leave").

Understanding Time Off Overlays

  • Overlays span start date through end date (inclusive).
  • They sit over the date cells for that employee. If a month is split across multiple weeks, they can span across the visible range.
  • Clicking an overlay may open details or options (e.g. view, edit), depending on your setup.

Color‑Coded Time Off

  • Colors come from the time off type. The same type always uses the same color on the calendar.
  • Use the legend (if available) or your Time Off Types settings to match colors to types.

How Time Off Affects Shift Scheduling

  • Days with time off are treated as unavailable: you typically cannot assign new shifts to an employee on those dates.
  • If shifts already exist when time off is approved, those overlapping shifts are removed (see Managing Time Off Records).
  • When planning the schedule, check the time off overlays to avoid scheduling people who are absent.
