Editing Time Logs
You can edit time logs to fix errors or to add check-ins or check-outs that never happened (e.g. someone forgot to use the time clock).
When to Edit Time Logs
- Wrong time – Employee clocked in or out at the wrong time (e.g. typo, wrong device time).
- Forgot to clock out – You're adding a check-out time after the fact.
- Forgot to clock in – You're adding a check-in (and possibly check-out) that was missed.
- Duplicate or wrong entry – You need to correct or remove an entry that was created by mistake.
Editing Check-In and Check-Out Times
- Open Time logs and find the row you want to change.
- Open the menu (e.g. three dots) for that row.
- Choose Edit.
- In the edit dialog:
- Change check-in date and/or time as needed.
- Change check-out date and/or time as needed (or leave check-out empty if they haven't left yet).
- Save. The time log updates and the duration is recalculated.
You can change either check-in or check-out or both. Make sure the check-out time is after the check-in time.
Adding a Missing Time Log
If someone didn't clock in (or didn't clock out) and you need to add a full record:
- In Time logs, use "Add" or "Create" (or similar).
- Select the employee.
- Enter check-in date and time.
- Enter check-out date and time (if the shift is over).
- Save. The new time log appears in the list.
Use this for forgotten clock-ins or when you're entering time manually by arrangement with your organization.
Deleting a Time Log
- Use the menu on the row → Delete (or similar).
- Confirm when asked. The time log is removed permanently.
- Only delete if the entry is wrong or duplicate. Prefer editing when you just need to fix times.
Best Practices
- Verify first – Check with the employee or their manager before changing times.
- Edit instead of delete – Fix check-in/check-out times when you can; delete only when the whole entry is wrong.
- Use filters – Filter by employee and date range so you're editing the right log.
- Consistent rounding – Follow your organization's rules for rounding clock-in/clock-out times (e.g. to the nearest 5 or 15 minutes) so payroll stays consistent.
